Manage rates help you to easily and quickly update your room rates for a few days or months from one place. You can also check RateBoard recommendations and make the most of each room.

Rates overview

Room type x Room category

  • Room category: it's a group of room types, for one room category you can have multiple room types. The categories are pre-defined by RateBoard.

  • Room type: it's a specific room in your hotel, for each room type you can have only one room category. The room type names will depend on your PMS server.

    • Primary room type: you can only have one primary room per for each room category, this room will contain the base rate, from which the regular rooms will derivate from.

    • Other room types: you can have multiple regular rooms for each room category, these rooms will have their prices derived from the primary room, adjusted by a percentage or value.

How to change rates by room category

On the manage calendar, once you chose the room type you want to edit, you can select one or several days that you would like to update, the Rate Editor will open automatically on the right side. Then you can have an overview of the current and suggested changes for each room type in this category.

  • For one day: you will see the rates for the selected date.

  • For multiple days: you will see a range of rates for the selected dates.

You can change the rates by accepting the rate recommendations or adjusting it manually.

  • Accept recommendations: to accept the rates recommended by RateBoard click on the button ACCEPT ALL, this will apply the change to all selected dates. The other room types will have their prices derivate from the primary rate as usual.

  • Adjust manually: if you don’t want to follow the recommendations, you can adjust the current rate and then click on ADJUST. The other room types will have their prices derivate from the primary rate as usual. The adjustment value can be defined in 3 ways:

    • ±€: increase or decrease by x€;

    • ±%: increase or decrease by x%;

    • €: define a new value.

While updating your rates, you will see an error message if any of the new rates are outside the current price range, and the save button will be disabled. Adapt your changes or manage the price levels before continue.

The save button will remain disabled until all changes are within the price range.

Once you are done with the changes, click SAVE, at the bottom of the rate editor tab, to input the updates into the change log, right under the manage calendar, where you can review all the changes before applying and publishing it.

If you don't want to apply any of the changes made, you can simply deselect it, only the selected changes will be applied and published.

Once you reviewed all the changes, click APPLY AND PUBLISH to send the selected changes, or click DISCARD CHANGES if you don't want to go through with it anymore.

How to change rates by room type

In order to change the rate of a specific room type, you need to expand each room type by clicking on the expand button (🔽). Once you do that, you will find the current rate difference to the primary room type that you could adjust according to your needs.

  • %: percentage on top of the primary room type rate.

  • €: value on top of the primary room type rate.

Note

Please keep in mind that for the non-primary room types, you will always adjust the difference to the primary room type rate.

As you can see in the example below, if we changed the difference from 15€ to 30€, once you clicked ADJUST the rate increase by 15€, from 297€ to 312€. From the primary room type rate, we have a 30€ difference.

If you want to set back the rate to the original settings (as defined in the price level) you can do so by clicking on RESTORE DEFAULT.

While updating your rates, you will see an error message if any of the new rates are outside the current price range, and the save button will be disabled. Adapt your changes or manage the price levels before continue.

If you only have one room category, this feature will not be enabled for your account.

On the manage page, when at least one day is selected, you can access the “hotel” tab in the rates' editor, on the right side of the calendar. On this tab, you can accept rates recommendations and make changes that will affect all your room categories for the selected dates.

Note

This will not affect dates with Autopilot on.

How to amend rates for all categories

  1. Select the dates you want to edit;

  2. Go to the Hotel tab, the changes made on this tab will be applied to the hotel (all room categories);

  3. Make the rate adjustments, just as usual;

    1. Accept recommendation

    2. Adjust manually

      1. ±€: increase or decrease by x€;

      2. ±%: increase or decrease by x%;

      3. €: define a new value.

  4. Save the changes;

  5. Go to the change log to review and publish the changes.

Checking if your rate updates were sent successfully

Once you send a rate update, you will receive a direct success information on your screen. With certain PMS however, RateBoard does not push the data, but it will be collected and "pulled" by your system. The frequency depends on your settings in the PMS.

While the rate update is pending in RateBoard, you will see a gray spinner next to the rate.

Warning

A red spinner will appear if there was an error while sending the rate. Please do not hesitate to reach out to your revenue manager in this case.
