Notifications

Notifications help you stay informed about relevant KPI changes or other developments. You decide what to monitor, when to monitor it, and how you want to be notified—either via email or directly in the app.

Introduction

A rule is set up by you, a specific user, for a specific hotel. Other users of the hotel will not see your notification.

A rule needs to consist of

  • 1 - 3 combinable KPI conditions

  • 1 - 4 combinable time range conditions

A rule can be active (in this case you get notified) or inactive (rule is saved for later use, but is not triggering notifications).

A rule needs to have defined a notification type: E-mail, In-app or both.

You can activate up to 10 notifications at a time and choose between email and/or in-app notifications.

How to create a notification

Notifications can be found on the top menu under Settings > Notifications.

  1. On the notifications page, click on “Create new notification” on the top right.

  2. Create and add a descriptive and unique name for your notification, such as “Weekend Low Occupancy Alert.” 

  3. Add up to 3 conditions, all 3 need to be true, to trigger the notification. 

    1. Select a condition type from the dropdown 

    2. Set all settings needed

    3. Click on "Add condition" to add to the notification. 

  4. Add up to 4 time ranges, you'll need at least one date range or DBA. 

    1. Select a time range type from the dropdown 

    2. Set all the variables 

    3. Click on "Add time range" to add to the notification. 

  5. Choose the notifications type between in-app and/or e-mail. 

  6. Check the Summary: As you configure conditions and time range, a summary at the bottom will automatically update, displaying the rule setup for easy review.

    1. Conditions and time ranges can be removed from the rule at any time.

  7. Click on ADD NOTIFICATION to save your new notification. It will be displayed in the notifications table.

    1. The notifications are not activated right away. After creating a new rule, you’ll have to activate it separately.

Condition types

You can add up to 3 conditions to a notification rule. Most of them can be combined (all beside “YOY comparison” and “Category constraints”). All of them needs to become true to trigger the notification.

checks if availability is above or bellow a set value. It is the total number of available/vacant roomnights for the selected timeframe.

checks how the hotel’s (booking.com) rate is performing compared to your competitors (booking.com) rates. Please be aware that this can only be checked if your rate was also available at booking.com for the according day.

This rule example checks if LOWEST Rates (no matter which category) of ALL competitors are 1% lower than my lowest rate.

checks weather for selected timerange. Location is based on your hotels zip-code. Combine with temperature condition to get a more precise result.

No matter which daterange is selected, only upcoming 14 days will be considered in all rules containing weather conditions, as we are only forecasting 14 days.

checks total number (sum) of all cancellations during selected timerange for all categories.

This notification example would trigger if the total number of cancellations for stay dates 19.12.25- 06.1.25 (sum of cancellations of all days during range) during the last 7 days would exceed 10.

This notification example would trigger if the total number of pickup for stay dates 19.12.25- 06.1.25 (sum of new bookings of all days during range) during the last 7 days would exceed 10.

with this condition you will get informed as soon as the calculated rate recommendation has reached your predefined minimum or maximum rate defined in the pricelevel.

Acorrding to your setup and pricing strategy, this might be quite common for some single days. Therefor you can decide, if the notification should only trigger if the min/max is reached for a period longer than 1/7/30 days.

Checks how different KPIs are performing compared to same date or same day of week of last year. Compared is YTD (year to date) data. With this rule you can for example check of you are on track or even overperforming with you occupancy during christmas holiday period.

  • OTB bookings

  • OTB revenue

  • ADR

  • RevPar

  • Cancellations

  • Pickup (is net pickup (bookings - cancellations))

  • Vacant rooms

  • Occupancy

This condition can not be combined with other conditions.

checks if rate recommendation derives from active rate at a certain level. Use this condition to always be updated about major price increases or decreases which needs to be pushed.

This rule is triggered every hour, as long as rule is active. If e-mail notification is selected, it triggers as soon as number of affected days increases.

This condition is only working if you have the autopilot active. It notifies you if an rate change done by the autopilot has extended a certain level.

checks if rate recommendations of a specific category (e.g. Standard) are more/less expensive than the recommendations from an other specific category (e.g. Superior). Condition is checked for every day during selected daterange. Notification triggers as soon as one of the days is true.

This condition nan not be combined with other conditions.

Time range types

Defining a Timerange is mandatory for all notification rules. At least one DBA OR one Daterange needs to be added. Daterange and DBA condition can be combined with other timerange conditions like pricelevels and weekdays. All date conditions needs to be true.

If the whole data range is in the past, the rule notification will stop working and an alert will be displayed on the Notifications main page.

The DBA can have a range up to 6 months, whiting 3 years in the future.

  • DBA: Days Before Arrival; rolling time period; DBA 0 is today

  • Date Range: A specific calendar range; the date range can have a range up to 6 months, whiting 3 years in the future.

  • Price Level: days when a certain pricelevel is applied

  • Weekdays: Select specific days of the week

If the whole data range is in the past, the rule notification will stop working and an alert will be displayed on the Notifications main page. Please deactivate and remove unused rules.

Notification Types

You can receive notifications per E-mail or in-app, directly on the dashboard. You can also activate both notificatoins types for one notification rule.

All active notifications set to Notification type: E-mail will be sent by e-mail as soon as their conditions are met. You can receive up to 50 email notifications per day in real time. After this limit is reached, notifications will be grouped into summary emails.

In the e-mail, each notification displays the following details:

  • Notification Name – the custom name you assigned to the rule.

  • Affected days – a summary of how many days are affected

All active notifications set to Notification type: In-App will appear in the Dashboard as soon as their conditions are met. They will remain visible until the conditions are no longer fulfilled.

In the Dashboard, each notification displays the following details:

  • Notification Name – the custom name you assigned to the rule.

  • Activation Date – the first time the conditions were met within the selected time range.

  • Triggered Date Range – the period from the first to the last day the rule is considered true.

    • Note: The triggered date range is based on the first and last dates where the condition is true within the selected time frame. This means some days in between may not meet the condition. You can check the list of days afected by hovering it.

 

How notifications are checked

Once you’ve set up and activated a notification, the conditions will be checked every hour. If the rule is met, the notification will appear on the dashboard or be sent via email and remain visible as long as the condition continues to be true.

Note: For certain rule types, how the condition is evaluated may vary depending on the selected value and comparison target. See below for more details.

For conditions like ADR, RevPAR,… you can choose between daily and average values.

  • Daily values: we’ll individually check each day within the set time range.

  • Average value: we’ll calculate the average value within the set time range.

Example

You set a rule that will check if ADR is more than €250 for Standard category, for the time range 20.12 → 24.12. The ADR for these dates are (20) €230, (21) €310, (22) €245, (23) €249 and (24) €296.

  • If you selected the daily values, the rule will be triggered for 21. and 24.12, as those dates have ADR > €250.

  • If you selected the average value, the rule will be triggered from the whole time range as the ADR average is €266.

For conditions like ADR, RevPAR you can choose between hotel and room category values.

Example

You set a rules that will check if daily ADR is more than €250, for the time range 20.12 → 24.12. The ADR for these dates are:

For Hotel: (20) €240, (21) €325, (22) €270, (23) €270 and (24) €310.

For Standard: (20) €230, (21) €310, (22) €245, (23) €249 and (24) €296.

  • If you selected hotel, the rule will be triggered for 21, 22, 23 and 24.12, as ADR > €250.

  • If you selected standard category, the rule will be triggered for 21, 23 and 24.12, as the condition must to be true for the selected category.

Manage Notifications

On the Notifications page, click the pencil icon next to the notification you want to update and modify the fields as needed.

  1. Adjust the Notification Name, Conditions, Time Range, or Notification Type.

  2. Click Save to apply your changes.

On the Notifications page, use the toggle switch next to each notification to turn it on or off without deleting it. You can activate up to 10 notifications at a time.

  1. Click on the trash can icon of the Notification rule you would like to delete.

  2. Confirm that you want to delete this notification rule. Be aware that this action can not be undone.

Example of Use Cases

☀️ Weather Radar
Is demand in your destination dependent on the weather?

For the next 7 arrival days, sunny weather is forecast for your region and your occupancy is still below 70% → Act quickly now, adjust prices, and optimize rate or occupancy.

📈 Pick-Up Monitoring
Is your pick-up developing much weaker than last year?

10% less occupancy for the winter season compared to 2024 → Launch marketing campaigns now and target the right guests.

Cancellation Check
Are you receiving more cancellations than usual?

More than 10 cancellations for the Christmas and New Year period → Adjust restrictions and secure occupancy.

 

RateBoards’ Tip

  • For optimal performance, limit your active notifications to those most essential to your business goals.

  • Use specific names for each notification to easily identify them later.
